How They Are Calculated & How You Can Save

Receiving an LTL freight quote should help you plan transportation costs, not leave you wondering why one carrier is significantly more expensive than another. Yet many businesses request multiple quotes for what appears to be the same shipment and receive prices that vary by hundreds of dollars.

Unlike parcel shipping, where rates are primarily based on package weight, dimensions, and destination, less-than-truckload (LTL) shipping rates are determined by a combination of shipment characteristics, transportation costs, and carrier pricing strategies. Even small differences in how freight is prepared, described, packaged, or shipped can have a meaningful impact on the final quote.

Understanding how these variables work together gives businesses a clearer picture of how freight pricing works. This guide explains the key factors that influence LTL freight rates and highlights practical ways to make more informed shipping decisions.

How LTL freight rates are determined

LTL freight is designed to maximize trailer space by combining freight from multiple businesses into a single shipment. Because every shipment is different, carriers evaluate several variables before determining a price.

At a high level, every LTL freight rate is built around six primary factors.

    Factor Why it influences pricing
Freight classification Reflects density, handling requirements, stowability, and liability
Shipment weight Determines pricing tiers and cost per hundredweight (CWT)
Distance Longer shipping lanes generally increase transportation costs
Fuel surcharge Accounts for changing diesel fuel prices
Accessorial fees Covers services beyond standard pickup and delivery
Negotiated freight shipping rate Contract pricing or volume discounts may lower transportation costs

Although every carrier has its own pricing model, these six factors form the foundation of most LTL rates. Understanding how they work together makes it easier to evaluate quotes and identify opportunities to reduce shipping costs.

Six factors that influence LTL freight rates—a deeper dive

    Freight classification

One of the most significant factors affecting LTL freight rates is freight classification. The National Motor Freight Classification (NMFC) system groups freight into 18 classes based on four transportation characteristics: density, handling, stowability, and liability.

Lower freight classes generally cost less because they are denser, easier to handle, and more efficient to transport. Higher freight classes typically require additional trailer space or specialized handling, increasing transportation costs.

Using the correct freight classification is essential. An incorrect class can result in shipment reclassification, invoice adjustments, and unexpected charges after pickup.

    Shipment weight

Shipment weight is another key factor that influences base freight rates. Carriers use the total weight of a shipment, along with its freight classification, to calculate transportation costs. In general, heavier shipments have a higher total transportation cost.

However, the relationship between weight and price isn’t always linear. Many carriers use pricing tiers, often called weight breaks, that can lower the cost per pound as shipment weight increases. As a result, a heavier shipment may cost more overall while costing less to transport on a per-pound basis.

Accurate shipment weight is also important because carriers may verify the weight during transit. If a shipment weighs more than originally declared, the carrier may reweigh it and adjust the freight charges accordingly.

    Distance

The farther freight travels, the more resources are required to move it through the carrier network. Longer distances generally increase transportation costs because shipments pass through additional terminals, require more driver hours, and consume more fuel.

Distance is only one piece of the pricing equation, however. Two shipments traveling the same number of miles may still receive different quotes based on freight class, shipment characteristics, and carrier capacity along that lane.

    Fuel surcharge

Fuel represents one of the largest operating expenses for freight carriers. Rather than continually adjusting published base freight rates, carriers typically apply a fuel surcharge that changes as diesel prices rise and fall.

Fuel surcharges are usually calculated as a percentage of the transportation charge and are updated regularly. While businesses can’t control fuel prices, understanding how fuel surcharges work helps explain why identical shipments may cost more during periods of higher fuel costs.

    Accessorial fees

Standard LTL pricing generally reflects freight moving between commercial locations with the equipment needed for loading and unloading. When additional services are required, carriers may apply accessorial fees.

Some of the most common accessorial charges include:

    Common accessorial When it applies
Liftgate service No loading dock or forklift is available
Residential delivery Freight is delivered to a residence
Inside delivery Freight must be moved beyond the receiving dock
Limited access Delivery locations such as schools, construction sites, or military facilities
Appointment delivery The receiver requires a scheduled delivery time
Redelivery A second delivery attempt is required

Providing complete shipment information during the quoting process is one of the easiest ways to avoid unexpected accessorial charges later.

    Negotiated freight shipping rates

Many businesses ship under negotiated pricing rather than standard published tariff rates. A negotiated freight shipping rate is typically based on factors such as shipping volume, transportation lanes, and the overall relationship between the shipper and carrier.

Businesses that move consistent freight often qualify for deeper discounts than occasional shippers. Likewise, carriers may offer more competitive pricing on lanes where they have available capacity.

Working with a third-party logistics (3PL) provider or shipping partner can also improve pricing. Because many 3PLs combine freight from thousands of customers, they often negotiate rates that individual businesses may not be able to secure on their own.

The complexity matrix: What can you control?

While certain transportation costs are determined by market conditions, many of the factors influencing LTL shipping rates are within your control.

You can influence More difficult to influence
    Freight classification accuracy Fuel prices
    Shipment dimensions Shipping distance
Packaging and pallet configuration Market demand
    Accessorial planning Carrier operating costs
    Shipment consolidation Economic conditions

Businesses often focus on negotiating lower prices, but improving shipment accuracy and planning can be just as effective. Correct freight classifications, accurate dimensions, and proactive LTL optimization can help reduce billing adjustments and make freight expenses more predictable.

Four overlooked ways to improve LTL freight rates

While the factors above form the foundation of LTL freight rates, they don’t tell the whole story. Experienced shippers look beyond the basics and identify additional opportunities to influence pricing. Small improvements in how freight is packaged, planned, and managed can lead to lower transportation costs over time.

Improve shipment density through better palletization

How freight is packaged can have a direct impact on shipping costs. Efficient palletization reduces wasted space, improves shipment density, offers safeguards against damage, and creates a more compact shipment. In some cases, those improvements may contribute to a lower freight classification, helping reduce LTL freight rates. Well-built pallets also reduce the risk of damage during transit and help freight move more efficiently through the LTL network.

    Compare rates across multiple carriers

Not every carrier prices the same shipment the same way. Carrier networks, available capacity, existing customer relationships, and service coverage all influence LTL shipping rates. Requesting quotes from multiple carriers—or working with a transportation partner that can compare rates across a broad carrier network—can help identify competitive pricing without sacrificing service.

Review freight invoices for billing adjustments

The quoted price isn’t always the final price. Reweighs, reclassifications, and unplanned accessorial fees can increase transportation costs after delivery. Regularly reviewing freight invoices helps identify billing adjustments, uncover recurring issues, improve shipment accuracy, and prevent avoidable charges. Over time, those small improvements can lead to meaningful cost savings.

Look beyond the lowest freight quote

The lowest quote doesn’t always provide the best overall value. Factors such as transit times, service reliability, shipment visibility, and billing accuracy can affect the customer shipping experience and its impact on your operations. Looking beyond the quoted rate helps businesses choose carriers that balance competitive pricing with dependable service.

    Frequently asked questions

What affects LTL freight rates the most?

Several factors influence LTL freight rates, including freight classification, shipment weight, shipping distance, fuel surcharges, accessorial fees, and negotiated pricing. No single factor determines the final cost.

    What are base freight rates?

Base freight rates represent the transportation charge before fuel surcharges, discounts, and accessorial fees are applied.

Why did my freight invoice cost more than my quote?

Invoice adjustments commonly occur because of freight reclassification, inaccurate shipment weights, incorrect dimensions, or accessorial services that were not included during the original quoting process.

Can I negotiate LTL shipping rates?

Yes. Businesses that ship regularly or work with a 3PL often qualify for negotiated freight shipping rates that are lower than published tariff pricing.

How can I reduce LTL shipping costs?

Accurate shipment information, proper freight classification, shipment consolidation, minimizing unnecessary accessorial fees, and comparing multiple carrier quotes can all help reduce transportation costs.

Understand your rates and ship with confidence

While LTL freight rates may seem complex at first, the factors behind every quote are relatively consistent. Freight classification, shipment weight, distance, fuel surcharges, accessorial services, and negotiated pricing all work together to determine what you’ll pay.

The good news is that many of these factors are within your control. Accurate shipment information, thoughtful planning, proper packaging, and the right transportation partner can improve pricing accuracy, reduce unexpected charges, and help your business make more informed shipping decisions.

The more you understand how LTL shipping rates are built, the better equipped you’ll be to compare quotes, control transportation costs, and ship with confidence.
